Volunteering

Volunteers are the foundation of Ancoura’s activities. They are the lifeblood that keeps the organization going. Volunteers are needed for many different types of activities and varying time commitments, some occasional related to a particular project, some more long-term, some requiring special skills. The following volunteer list gives specific examples of our needs. This list is not comprehensive but hopefully it will assist potential volunteers to match their interests, time availability and skills with specific needs and activities.

Visiting Volunteers

Each Ancoura home has a team of resident visitors (about five per home) who form a group of friends for our residents. They often assist residents with daily tasks, such as shopping and cooking; go together for coffee and walks; visit museums and engage in other social activities and community events. The friendships that develop between residents and volunteers are a rich and vital aspect of Ancoura’s community.  Generally, these visitors are asked to commit to at least one year as a visiting volunteer. However, we could use a few volunteer substitutes who could fill in periodically when regular resident visitors are away. Ancoura offers a basic training program for visiting volunteers.

Please note that all Ancoura volunteers are required to provide a police records check.

We can also use handy persons who could provide basic repairs and maintenance (the landlord does major maintenance and repairs).

Board of Directors

The board meets monthly at a time convenient to board directors. Board terms are two years open to renewal. Many directors also serve on a committee. We would benefit having on the board, or as a consultant: a lawyer, accountant, bookkeeper, real estate agent, fundraiser, someone with experience organizing volunteers.

GENERAL MANAGER

We currently operate seven homes with three residents in each and a team of visiting volunteers who offer residents friendship and support. Reporting to the Board of Directors, the General Manager provides: administration of daily operations; staff management; assistance with fundraising; board liaison; community and public relations.

 Key Activities

  1. Administration of  Ancoura Office and Staff Management
  • Oversees the daily operations of the organization
  • Supervises staff, manages HR issues
  • Oversees organization of activities (e.g. home moves, social events)
  1. Fundraising
  • Assists the Fundraising Committee in researching and writing grant proposals to foundations, corporations, and government ministries / agencies
  • Gives presentations to potential donors
  1. Board of Directors Liaison
  • Attends and reports at board meetings
  • Attends executive committee meetings
  1. Community and Public Relations
  • Manages email communications with members and the public
  • Builds Ancoura relationships with other mental health and housing agencies
  • As Ancoura ambassador, performs outreach to the larger community

Professional Qualifications

  • Bachelor’s degree
  • Five or more years of management experience
  • Strong organizational abilities including planning, delegating, and program development
  • Knowledge of fundraising strategies and donor relations unique to the non-profit sector
  • Familiarity with development functions including grant writing, event planning, donor solicitation and budgeting
  • Strong written and oral communication skills
  • Ability to communicate with and engage diverse volunteer and donor groups
  • Demonstrated ability to oversee and collaborate with staff
  • Comfortable with public speaking
  • Proficient in computer programs

  • Location: office at 30 Cleary Ave, Ottawa
  • Hours: part-time, 24 hrs/week. Some flexibility required, some evening meetings.

Board of Directors – Treasurer

ANCOURA is a small non-profit, charitable organization, founded in 2007, dedicated to providing stable homes and social support for adults living with mental illness. We currently operate six homes, with three residents in each home and a group of 4-5 volunteers at each home as a circle of friends. We are currently looking for a talented candidate to join our organization and play an essential leadership role within our community.

WORK DESCRIPTION

SUMMARY

As a Board Director, the Treasurer oversees the development and sound management of Ancoura’s finances. An average of 10-14 hrs/mo.; more hours around AGM and tax receipt time and fewer hours in the summer.

KEY ACTIVITIES

  • Oversees all financial transactions (revenue & expenses) which are recorded by the bookkeeper.
  • Prepares monthly financial reports for the Board, with input from the bookkeeper.
  • Contacts the bookkeeper on a regular basis and oversees production of tax receipts, financial statements, T4s, government filings, and any other financial documents.
  • Chairs the Finance committee and meets/communicates with them regularly.
  • Prepares the annual budget, with input from the Board, bookkeeper and Finance committee.
  • Prepares all documents needed for the annual review and meets with the accountant; reviews year-end financial statements with the accountant, Board and Finance committee prior to the AGM.
  • Presents financial statements at the AGM for final approval.
  • Sits on the Executive committee.

Qualifications

  • Bookkeeping/accounting background; someone who can read and interpret a balance sheet and profit & loss statement.
  • Experience with a non-profit board an asset.
  • Previous experience as a Treasurer an asset.

ANCOURA BOOKKEEPER

Are you looking for a part-time bookkeeping position? Do you have a background in charity/non-profit accounting? Ancoura is looking for a talented individual like you to join our organization and be an important member of our team.

Reporting to the General Manager, the bookkeeper provides: bookkeeping and data entry; payroll; record-keeping; communication with other Ancoura personnel.

Key Activities:

  • Bookkeeping: all functions up to and including monthly financial statements
  • Data entry: maintains financial records; maintains donor and mailing lists; issues tax receipts
  • Payroll: all functions including T4s, CRA remittances, ROEs
  • Record-keeping: maintains an organized filing system for past & current files
  • Communication: regular communication with General Manager and Treasurer; assists Treasurer in preparing year-end review for accountant

Professional Qualifications:

  • Diploma or degree in finance/accounting
  • Experience with QuickBooks and DonorPerfect
  • 5 years experience in charity/non-profit bookkeeping
  • English fluency essential
  • Ability to work independently and as part of a team

Visiting Volunteer Position Description

Committees

Executive Committee

Acts on behalf of the board during interim times between board meetings, dealing with strategic decisions, human resources, policies, and any ad hoc issues that are outside the mandate of other committees and best dealt with by the Executive Committee.

Finance Committee

Advises and assists the board on financial matters including review of monthly and yearly financial statements, recommendation of the annual budget, and oversight of internal financial procedures as they arise.

Communications

Responsible for the communication tools that Ancoura uses to make ourselves known.  These include our brochure, newsletter, website, annual report, Facebook and Twitter.  Occasionally, the committee prepares PowerPoint presentations and videos.

Volunteer Recruitment

Contacting various organizations to inform them about Ancoura and to solicit volunteers, furniture, donations and other forms of support. These organizations include faith communities, service clubs, colleges and universities, and agencies with a mandate in the area of mental health.

Social

Plans, organizes and carries out activities needed for social events such as the Christmas party, summer barbecue and annual general meeting.

Fundraising Committee

Provides broad oversight and leadership for Ancoura’s fundraising efforts, including donations from individuals and organizations, grants, and the annual fundraising dinner.

Willing to be Called when Specific Tasks Arise

We also need volunteers who are available for specific tasks, but do not wish to be part of a committee, e.g. helping arrange social activities, helping with moving.
